TNECA E-Mails

Based on feedback from a handful of Co-Owners, we suspect that E-Mails sent from TNECABOARD@TreetopsNorthEstates.com are not being delivered on a timely basis, if at all, by some email providers.  Emails from you to TNECABOARD@TreetopsNorthEstates.com are not affected so please continue to use that address to send us emails.  While we investigate the delivery issue, this quarter's invoices from TNECA will be sent from TNECABOARD@gmail.com - which, in our testing this morning, appear to have the best chance of making it to you. You may need to add TNECABOARD@gmail.com to your address book and/or check your SPAM folders.  The 1Q-2020 invoices will be going out later today.  If you do not receive your invoice by tomorrow, 11/16/19, please let us know at TNECABOARD@TreetopsNorthEstates.com

The Smoke Alarm Replacement project was finally completed last week.  The "installation" costs will be paid from existing dues.  The "hardware" costs will be billed to individual co-owners on the 1Q2020 Dues Invoices, based on existing percentage of ownership ratios

Charter Outage

It appears that today's "planned" outage of Charter Services (Cable TV & Internet) was for some sort of modem upgrade but, once here, they realized that the modems had already upgraded.  We will post any updates as soon as possible.

Street Light

As you may know, the Fazio Drive Street Light in front of Building 5 was hit again.  Treetops Security was unable to narrow down the time when they noticed the light was out during their daily patrols but our best guess was that it was hit sometime between June 3rd and 10th.  Based on the amount of damage to the light, the vehicle likely sustained severe damage this time.  We are on "Chuck's Electric's" list to have it repaired again.

We just visited the North Pool and it is NOT ready for use. Even though the "feels like" temp up here is 48 degrees today, we've contacted the Resort and will post updates as they become available.

According to the Resort, the North Pool Complex on Fazio Drive is now ready for use.  As mentioned earlier, the Resort now limits the use of the facility to Treetops North Estates Condo Association Property Owners, their immediate family and non-rental program guests exclusively.  The Resort has installed lock boxes outside the locker room doors at the rear of the building.  Please return the key to the lock box immediately after opening the door and spin the code dial.  Call the Resort Front desk for the code.  The code will also be sent to all co-owners via email in the next few days.

The North Pool Complex on Fazio Drive is not yet ready for use.  We've contacted the Resort and will post updates as they become available.

 North Pool

The North Pool Complex on Fazio Drive is scheduled to open on May 24th.  This season, our agreement with The Resort limits the use of the facility to Treetops North Estates Condo Association Property Owners, their immediate family and non-rental program guests exclusively.  Appropriate signs and enforcement procedures will be implemented ASAP.  In the meantime, if you believe this agreement is being violated, please call the Resort Front Desk (989-731-8404) and email James Vanderveer (jvanderveer@Treetops.com).

There were no additional volunteers for the TNECA BOD.  The current Board members (Ed and Tom) have agreed to continue to serve.  We ask that you vote FOR or AGAINST having the current Board members continue.

Annual Meeting

The 2019 Treetops North Estates Condominium Association Co-Owner meeting will be held Friday evening, May 3, 2019 at Treetops Resort. The purpose of the Annual Meeting is to discuss the Association activities and formally elect Directors.  However, based on recent past meeting experiences and the fact that the vast majority of co-owners have been unable to attend these meetings in person, we are going to conduct the election portion of the meeting via email and will set an exact time and place for the Friday evening meeting once we get an idea of how many co-owners will be at the Resort.

Annual Meeting

The Resort has scheduled the "We're Open Open" (WOO) for May 4th from 10:00am to 4:00pm.  We will plan to hold the TNECA Annual Meeting sometime that weekend as well.  We are asking for your input regarding the date/time.  Options are:

  1. Sometime Friday Evening, May 3rd, after everyone arrives at their Condo

  2. Early Saturday morning, May 4th,before the WOO

  3. Saturday, May 4th, sometime after the WOO

  4. Early Sunday morning, May 5th, trying to avoid that day's tee times

 2Q-2019 Dues Invoice

The 2Q-2019 dues invoices which would normally be emailed on February 15th, are going to be delayed a few days. Due to a number of issues, mainly related to the weather, we probably won’t be able to have the propane meters read until sometime this weekend, at the earliest. Rather than send a separate invoice for dues/insurance on the 15th and another separate invoice for propane next week, we will send one as soon as possible after we get the meter readings. Sorry for any inconvenience.

Storm

As some of you may know, a major snow storm was experienced by TNECA over the last two days.  Upwards of 3 to 4 feet of snow dropped on TNECA with drifting up to twice that depth.  Making matters worse, significant accumulations of sleet were also experienced.   The forecast is also calling for 7” more inches of snow in the next 24 hours.  These set of conditions have made snow removal extremely challenging for TLC, our snow removal contractor.  Just getting to TNECA has been difficult.  They have been out several times in an effort to keep Fazio Dr. clear.  At present one lane is passable.  Lots have had some plowing.  Walkways where we know there are residents have been cleared.   In speaking with TLC, it may take a couple days to get everything cleared up.  They are doing the best they can under extremely tough circumstances.  We will provide additional updates as indicated.  Please do not hesitate to contact the Board with any questions or concerns.

Annual Meeting

Although we have no confirmation from the Resort, we assume that the current snow storm will cause the Resort to cancel or postpone the We're Open Open that is scheduled for next weekend. However, almost all of those who originally indicated that they would attend the meeting and responded to our query yesterday, indicated that they still plan to attend the TNECA meeting even if the We're Open Open were not held. Therefore, our Annual Meeting will be indeed be held, as scheduled, next Sunday, April 22.

 Alarm Testing

EPS will be out at the Condos again over the next two days to perform some additional tests that are required by our contract.  We again reminded them that EPS has customers within TNECA who have individual intrusion systems which need to be dis-armed and re-armed accordingly.

Due to the extreme temps we are having at least one faucet in at least one unit in each building set to a trickle until temps return to something closer to normal.

We have another extended period of unusually cold weather coming up so we are again paying the Resort to check that furnaces are working in "non-owner occupied" units that do not have remote thermostat controls.
 
They will check the Rental Units for free.
 
We know that 7A, 7B, 7C and 2B have remote controls and will not need to be checked.  If you also have a remote thermostat and can confirm that your furnace is working, let us know ASAP so we can minimize the inspection costs.

There are two twin sleeper love seats - mattresses an upgrade - $450 for one; $800 for both

If any of the other owners are interested, we can make arrangements with the front desk so that they can go in and look.

Building 4

It appears that the project to replace the box that houses the three separate GLE meters at building 4 has been delayed due to problems trying to schedule an electrician.  Once we get more details, we will send them out.  It is our understanding that this box is not a "limited" common element, but rather a "general" common element, and the cost to repair/replace it will not be passed on to the individual owners.  Also, since short power outages are a common occurrence in the area, we expect that this repair, whenever it occurs, will go pretty much un-noticed.

Building 4

During some sort of routine meter reading/inspection of our various Great Lakes Energy connections, a potential problem with the building 4 service was found which requires that the individual boxes that house the three separate GLE meters be replaced at some point in the near future - probably in Sept or Oct. We still need to get all the details but, once we do, we will send out the details to you and your building mates.

PROPANE LINE INSPECTIONS: We recently had the propane lines between the building propane tanks and the individual unit meters inspected and arranged to have any problems or potential problems repaired.  Our vendor, Fick & Sons, also offered to inspect your individual propane line - from the meter to each of your propane fired appliances - for a flat $40.00/condo.  Let us know if you are interested in this service and we will forward you contact information.  If they get enough interested, individual co-owners and can arrange to have all the inspections done at the same time, they may be able to give a discount.

FINAL NOTICE: If you and/or your building-mates would like to have the brush or tree limbs between your building and the golf course cleared this fall, please contact Marcy ASAP.  This project will be between the individual owner and/or building, TNECA will not be involved.

Reminder

3,5 & 7 ROOFS: The final payment has been made to the roofing contractor.  There are two minor roof replacement related repairs that are still needed but arrangements have been made to have our general contractor take care of those.

 

BUILDING 1 GARBAGE SHED: Once the garbage totes are in place, if you notice that additional totes are needed in your building's trash closet or if you think you have too many totes, please let us know ASAP.

Update

BUILDING 1 GARBAGE SHED: The most recent mess has been bagged and will be picked up tomorrow.  We have also arranged for 96 gallon totes to be placed in each shed.  All trash (still only normal, household refuse) must continue to be in sealed, plastic bags but should now be placed in a tote so that the cover on the tote can be completely closed.  Hopefully, this will lessen the cost to clean-up after those who, for whatever reason, do not follow the rules.

 

3,5 & 7 ROOFS: The additional work that was identified during the final inspection still needs to be done.

Update

BUILDING 1 GARBAGE SHED: It has recently been brought to our attention that the rules regarding garbage disposal are being habitually abused at building 1.  Under our current Trash Contract, the vendor will only remove household waste that is placed in sealed plastic bags.  As a result, the building 1 shed resembles a land fill.  The following actions were taken last week:

  • The Resort has been asked to remind renters that any trash taken outside of a rental unit must be in sealed, plastic bags and placed in a trash shed

  • Additional trash reminder stickers have been placed in all TNECA Trash Sheds

  • The Resort has confirmed that the Resort's Cleaning Crew does not place any trash in TNECA Trash Sheds

The following additional actions are in process:

  • We have hired an extra crew to bag all existing trash in the building 1 shed prior to the next scheduled collection on Wednesday, August 2nd

  • We are looking into changes to our current Trash Contract that would allow the use of some type of trash cans

  • We are looking into some sort of process to indentify those who put un-bagged items in the building 1 shed

Update

STREETLIGHTS: The lights in front of buildings 2 and 7 are still out.  This morning's update from Chuck's Electric of Gaylord is that they will be out next week - promised, for sure this time.  Apparently they are part of the renovation at the main Resort and that has a higher priority than our project.  If they break this latest promise, we will find another vendor.

DECKS: We are hopeful the remaining decks will be sealed soon. There have been weather and logistic issues. We are frustrated as well with the time it is taking for this project, as well as others.

3,5 & 7 ROOFS: The additional work that was identified during the final inspection still needs to be addressed.  We are holding back a substantial amount of the original contract until the remaining work is performed.  Our General Contractor will be back in the area next week to oversee the completion of all outstanding projects.

Reminder

It is our understanding that there are two large RVs currently parked on Condo parking lots.  The Condo parking lots and Fazio Drive are designed for passenger cars, light trucks & SUVs only.  Parking of large vehicles, trailers or recreational vehicles are specifically prohibited by our Condo docs except for temporary loading and unloading purposes only.  In addition, parking of any vehicle whatsoever is NOT allowed on any other Association property, lawns, fields or flower beds.  However, parking of such vehicles may be allowed in the Condo Pool parking lot across from the Fazio Premier Half Way House but only with permission from the Resort.  Please register with the Front Desk at the Main Resort beforehand.

Update

STREETLIGHTS: The lights in front of buildings 2 and 7 are still out.  Update from Chuck's Electric of Gaylord is that they will be out within the next 7 days.

DECKS: All grey trim has been painted.  Cleaning and re-sealing of actual decking will be completed ASAP.

Our Spring projects have been delayed by weather.  Here is the latest info we have, again, weather permitting.

PESTS: Building 5 is done.  We visited it twice yesterday and did not see any activity.  The other buildings are scheduled for the 22nd.  Additional preventative treatments have also been scheduled for late summer.  Please continue to be vigilant.  We heard a story this morning that a local resident in the area burned down his house trying to get rid of his pests!

AM Update

As mentioned at the Annual Meeting and on the TNECA Web Site, areas around the Resort have been experiencing unusual bee, wasp and/or hornet activity. We have had an exterminator inspect our buildings and treatment plan is currently in process. Building 5 is especially affected. The plan includes not only getting rid of the current pests but longer term preventative treatments as well. In the meantime, please keep your condo windows and doors closed and be careful on the courses.

Back Decks
The golf course side decks are scheduled to be repaired, cleaned and stained this week.  Due to the variability in past maintenance and to maintain conformity, the Association will be assuming responsibility for determining the maintenance of all external decking, front and back.  This will include railings and fascia.  During our Spring Inspection, it was clear that the majority of back decks needed some sort of work - if not the decking itself then the railings or fascia.  Since the decks are "Limited" Common Elements, the cost to maintain the decks is the responsibility of the individual owners.  When possible, as with the front decks last fall, the Association may be able to pay for the repairs, cleaning and staining out of our regular Operating or Capital Dues.  Those units with extra rear walkways or that require substantial repairs will be charged accordingly.

Update

Some of you are aware that areas around the Resort, including the North Condos, have been seeing more than "normal" bee and wasp activity in the last year or two.  During the BOD's recent tour of the property we noticed that the issue continues this season but most of the nests that we were able to see are too high up for your BOD to remove.  Therefore, we are in process of hiring a professional to handle this for us.

Annual Meeting

Your Board is beginning to plan for our 2016/2017 Annual Meeting.  As previously noted, interest from co-owners and/or the Resort in participating in and/or attending a property owners golf outing and reception has dwindled so the Association will sponsor only the required Annual Meeting again this year.  The meeting is tentatively scheduled for Sunday morning, April 23rd which is the day following the Resort's "We're Open Open" golf outing. Before we rent a meeting space, we would like to get some idea regarding how many property owners might attend the meeting in person.

Resort News

Main Resort Getting a Facelift
09/20/16 Deck Update

As of 3PM today (Tuesday, September 20th), all parking lot side decks have been cleaned. The parking lot side spindles and railings at buildings 1 thru 7 have been painted. The crew is currently painting the parking lot side spindles and railings at building 8 and should complete that portion of the project this afternoon. The sealing of the parking lot side decks is scheduled to take place in the next few weeks. However, for those of you who took us up on the offer to have your golf course side decks cleaned and sealed, we have just learned that - despite previous assurances - the cleaning and sealing of the golf course side decks will not happen this year. We understand that this is due, at least in part, to weather delays. We apologize for any inconvenience this has caused. We plan to hold this project over until next year.  If you should decide to have your deck cleaned and sealed on your own before next year, let us know and we will take you off the list.

On Tuesday, August 9, all of our parking lots will be getting resealed. As a consequence, no parking is allowed in the lots beginning Tuesday morning August 9 (7am) thru Wednesday 10 (6pm). This time is required for the seal to cure and dry properly. The cost of this project is paid by all of us thru our quarterly dues. Your cooperation, on behalf of all TNECA Owners, is appreciated.

Dues

We appreciate the vast majority of Owners who are paying their quarterly TNECA dues on a timely basis. Thank you. However, there are a handful of Owners who continue to be late in making remittances despite the added effort and time by your Board.  Effective with the current dues (2nd Quarter 2016 - which were due on 3/15/16), if your payment is not received by the original due date, we will no longer send out 2nd copies of the original invoice.  However, 15 days after the original due date, we will continue to send out another copy - which will include the $100 late fee.  Dues invoices are emailed at least 30 days before due dates. The $100 late fee is applied 15 days after the due date.  A 45 day payment window is more than reasonable by any standard.  The due dates for TNECA Dues are normally on or about the 15th of March, June, September and December.  Please email us at TNECABOARD@TreetopsNorthEstates.com with any questions or comments and (especially) if you do not receive your dues invoice on or about the 15th of February, May, August and November.

Upper Deck Clearing

As some of you know, we have had issues in the past with moisture from snow melting on decks of second floor units compromising units below.  Therefore, when weather conditions indicated sustained, above freezing temperatures, we have those second floor unit rear decks cleared of snow.  This weekend is calling for just such weather conditions.  Accordingly, unless you notify us that your upper unit deck is currently substantially free of snow, it will be cleared of snow in the next 24 - 48 hours.  Any items on the decks will be moved and placed back as close as possible to their original positions.

Temp Check

Due to the forecasted single digit temps, last week we paid Treetops to go out to the North Estates and physically check for working furnaces. If your unit is in Rental, James decided if it needed to be checked. If your unit is not in Rental, it was checked unless we had evidence that it was occupied during the preceding 7 days. James reported all units passed the test.

As you know, we are in process of upgrading our EPS fire and freeze alarm system. According to EPS, the upgrade is proceeding and will be completed within the next 4-6 weeks.

Only normal household refuse, in sealed plastic bags, may be placed in the Trash Sheds located in the parking lots.  No construction materials, mattresses, appliances, fixtures or other such items are allowed.

Annual Meeting

We hope your summer is going well. Your Board is beginning to plan for our Annual Meeting and Golf Outing and need to start getting an idea of who will be attending. Both events occur on Saturday, August 29. We may also have a banquet later that evening depending on level of interest and participation. Association Meeting is at 9am followed by the golf outing. Please email us (TNECABOARD@TreetopsNorthEstates.com) and provide us the following information;
 

1. Will you be attending the Annual Meeting?
2. Will you be playing in the golf outing? If yes, how many players from your condo will be participating (best guess at this point)
3. Are you interested in attending a banquet, similar to that which we have had in the past?  If yes, how many folks from your condo will be attending (best guess at this point)
 

In past years, Treetops and TNECA have provided subsidies for both the golf and banquet with nominal fees for Owners and Guests. I would expect the same this year.

Bird Feeders

As our more seasoned co-owners know, we have problems with birds damaging our buildings.  We understand the entertainment and aesthetic value associated with bird watching but experience has shown that these problems and resulting repair expenses are intensified when bird feeders are anywhere in the area.  Please remove all bird feeders immediately.  We are aware of new feeders at 1B & 3A but if you see feeders anywhere else on TNECA grounds, please let us know and help us avoid unnecessary repair, painting and removal expense for either all co-owners or those co-owners who have bird feeders attached to our buildings.

Water Quality

A number of Co-Owners have complained to the Resort about the water at the North Estates.  Here is a report from the inspector on the steps taken to mitigate the problem.  Please continue to update the Resort (you can call the Front Desk) as they continue to address the issue.  Thank you to the Co-Owners for taking the time to report the issue and to the Resort for the working to solve the issue.

After investigating the complaint, I too discovered an odor in the water. Faint but consistent at multiple locations on the system. The actions I took at that point are as follows:

07/10: Inspected the entire system from the well house out for any deficiencies (none found). Odor was not present in the well house. I increased my chlorine feed rates and flushed the system until I had a 2ppm free chlorine residual. During the flushing process the odor dissipated pretty quickly. The fact I was able to maintain a 2ppm residual is a good indicator that there was little to no demand on the chlorine in the system.

07/11: Took residuals from various locations on the system. All showed a free/available chlorine residual within normal ranges. I increased the chlorine feed again and repeated the flushing protocol from the day before. No discernable odor was present. I again took the system to 2ppm free chlorine “ just in case”.

07/12: Opened up hydrants at all points in the system. No odor present and consistent chlorine residuals throughout indicating no increased demand on the chlorine. Did a complete inspection of all accessible points on the system. No deficiencies were found.

07/14: Opened up hydrants again at all points in the system. No odor present and consistent chlorine residuals. Collected bacteriological samples from the routine collection points (well and system). Both samples came back clean.

To this point I have not been able to pinpoint what caused this condition. I am continuing to monitor it closely and will notify you of my findings as we move forward. The steps I took assure me that the water is safe at this point.

Entryway Decks

The majority of the entryway decks need to be cleaned and re-sealed.  This time, we are not going to give individual owners the option to perform the cleaning/sealing themselves.  The Association will have the entryway decks cleaned and sealed, divide the cost appropriately and bill each owner.  The back (golf course side) decks will be not be included in this process.  If your back deck needs to be cleaned/sealed, you will need to arrange that separately.  Once we decide on a schedule for cleaning/sealing the entryway decks, we will pass the information along.

2014 Spring Cleaning

The TNECA Board made our semi-annual inspection of the TNECA properties and was pleasantly surprised at how well the property came through the brutal winter season.  We did notice that the majority of the entryway decks need to be cleaned and re-sealed and that Building One is being attacked by birds, especially woodpeckers.  We will be making arrangements to have the decks attended to ASAP and will investigate ways to discourage the birds from congregating and doing anymore damage at Building One.

Propane Usage

As mentioned in the 02/13/14 item below, propane usage is WAY UP!  The "per unit", comparative data for the 3 months ended 01/31/2014 can be found here.  Total usage was up 30%.  Prices charged by Treetops Propane Vendor increased 25% during the period.  We understand that the price will remain at these higher levels until at least May 31st.

The cold temps are not only responsible for increased usage but has also caused our vendor to pass along multiple price increases. At this point, our vendor does not anticipate running out of propane but cannot guarantee that additional price increases will not occur.

As you know, the area is experiencing sustained, unseasonably cold temperatures.  In case you have not already been notified, in order to lessen the chances that the water lines outside the buildings will freeze, one or all of your inside water faucets have been set to trickle a small amount of water into your sink.  Please contact the Resort if you have any questions or concerns.

You may recall the discussions at the Annual Meeting regarding testing of the Smoke and Freeze alarms in each unit - that was started last August.  We are happy to report that there appears to be an agreement with Treetops regarding access to Rental Units and that the testing of the remaining units is currently being scheduled!  Once each unit passes this first set of tests, additional tests will be performed every three months.

There appears to be an issue with the water at the condos again.  If you have a problem, please notify Treetops ASAP.  You may recall the similar problem from last year which appears to have overwhelmed the fix that was made by Treetops at that time.

Appeal

Following is an appeal from our friends at TLC: Treetops Resort is holding their annual Patriot Golf Day Shootout on Friday, August 30, 2013, at 1:00 PM at Treetops North. Again this year, Dan Vaara, Gaylord School Principal, has volunteered to represent the VFW at the event. The winner decides who will receive a scholarship named after a person (alive or deceased) of their choice. Last year, David Day, was the choice selected by Dan. The Annual Association Meeting and the Treetops Property Owners Golf Outing and Reception will be held on Saturday, August 24th, 2013.  Following our 9:00am TNECA Annual Meeting, Treetops will host the Property Owners Golf Outing on The Jones Course with tee times starting at approximately 11:50am.  Following that, Treetops will host a reception with hours devour and cocktails.  We are working on specifics with Treetops and you will get the TNECA Meeting agenda & Proxy/Ballot as well as a formal invite and more details for the Outing and Reception soon!  Our plan is to have pricing for both a “golf/reception” option and a “reception only” option.  The prices have been extremely reasonable and we’ve always had fun.  Guests are welcome to share in the outing and the Treetops experience.  Let’s make this years' outing and reception better than ever!

From James Vanderveer: The pool inspector was out today and we received his blessing to open the North Pool and Spa today. The only thing that will not be working this weekend is the heat for the pool - the spa is heated and working fine. We have ordered the boiler part for the pool and it will be here Wednesday. Trash Collection Reminder

Only normal household trash may be placed in the Trash Sheds located in the parking lots and must be placed in sealed plastic bags.  No construction materials, appliances, fixtures or other such items are allowed.  Trash is collected on Tuesdays. Also, if you notice that something needs attention in your trash shed (or anywhere else on Association property for that matter), please let us know ASAP by sending an email to TNECABOARD@TreetopsNorthEstates.com or by calling the Resort and asking them to send us an email.

Storm

 

FINAL SUMMARY from the Prez: On Friday morning around 3:30am, TNECA lost power to 5 of our 7 buildings as a result of a snow storm that dropped approximately 18 inches of snow on our property in a 24 hour period of time.  Reports from Great Lakes Energy suggested power restoration could take 3-4 days.  Loss of heat for that period of time may have resulted in frozen water lines that, if ruptured, could have caused significant damage to multiple units within a building.  We began making plans to protect ourselves from that potential yesterday and throughout the morning today.  Fortunately, at approximately 12 noon today, power was restored.  While we are happy we did not have to implement our plan, having one ready to go involved lots of folks and lots of time.  We would like to thank our contractor Erv Grody who did onsite Intel and helped us develop our plan if the outage continued, Treetops Resort specifically Barry Owens, James Vanderveer and the Security staff who were also on-site and participating in the development of our plan.  Special shout out to the TNECA IT Department (Tom) as well.

10:30AM Update:  We have hired a contractor to assist us.  Temps inside the condos are still above freezing and we project that they should remain that way for at least the next 24 hours.  We will continue to monitor.  Current plan is to test running the fireplaces in a couple units to see if that has any impact on the inside temps.  Rooms without any water access will be closed off.  If temps approach freezing, water will be turned on to a trickle in the kitchen and bathrooms.  We continue to seek out Great Lakes Energy Crews in the area for updates.

Propane

As outlined at the Annual Meeting in August, TNECA took over the administration of our propane on 07/31/2012. This allowed us reduce the per gallon rate we pay by at least 20%. As part of this deal, we were required to purchase from the Resort the existing unused propane that was in the tanks on 07/31/2012. This cost was included on your 4Q12 dues invoice.

 

Since all 7 propane tanks were only partially filled at the time we took over administration of our propane, we were also required to have each tank "topped off" so that each owner started this new process with a "full tank" - just as would have happened if we had elected to purchase propane from an independent third party outside of the Treetops family. Your portion of the cost of the propane needed to "top off" the tank for the first time is listed on the line on your 1Q13 dues invoice labeled "Initial Top Off". The total of these two items - the cost of the propane purchased from the Resort and the cost of the propane needed to "top off" your tank for the first time - is essentially a "limited common element" assigned to your condo which, like any other pre-paid item (taxes, dues) or a garage/shed, should be included in the settlement statement when you sell or otherwise transfer ownership of your condo.  A schedule showing the total of both the cost of the propane purchased from the Resort and the cost of the propane needed to "top off" your tank for the first time for each unit is listed here.

 

In addition, those co-owners who actually used propane between 07/31/2012 and 10/30/2012 will also notice an amount on their 1Q13 dues invoice labeled "Actual Usage". This amount represents the actual amount of propane used during 07/31/2012 and 10/30/2012, based on actual meter readings. Going forward, you will be billed in arrears for propane on a quarterly basis based on additional actual usage.

Brush Clearing

TLC, the folks who take care of our landscaping, are getting ready for fall clean-up. In the past, some owners have banded together to have TLC clear away the brush between their building and the golf course, primarily at buildings 3 through 8, before it gets too high and blocks the view from your building. The effort/cost to clear away the brush is much less if it is cleared on a regular basis, Therefore, if you and/or your building mates are interested in having TLC clear away the brush between your building and the golf course, please contact TLC at TLAWNCARE@Hotmail.com ASAP.

Parking

 

With the volume of rentals up this summer, there have been issues with parking for some of the buildings.  Owners need to stop by the Treetops Front Desk to pick up 2 dashboard inserts for your vehicles.  Every unit will be allowed one vehicle per lot.   If there is more than one space per unit in your lot, you can park an extra vehicle for yourself or your guest but that vehicle must have an insert.  Additional vehicles will be instructed to park in the pool lot or along Fazio drive.  For those of you with garages assigned to your condo, you won't need an insert.  There is no need to pick up an insert each time you are visiting, please keep them for future visits. Treetops Security will be patrolling the lots and looking for vehicles that do not comply.

We will be painting stripes and assigning parking spots ASAP.  Please know that we are doing our best to schedule this work so that guests and owners are not inconvenienced.  As soon as we have a schedule, we will publish it and hope that the weather cooperates.  Thanks in advance for your understanding.

TNECA Update from the President

In the last few weeks a variety of maintenance projects have been completed and more are coming. Some of the projects include:

  1. Rust stain cleanup

  2. Gravel put around sheds and garages

  3. Deck cleaning and sealing

  4. Pool House painted

  5. Pool House fence stained

  6. Miscellaneous repairs and maintenance at each building.

Beginning next week, painting of all sheds and garages at buildings 1, 2 and 3 will begin (the 2E, 7ABCD, 8A garages were recently built or painted and do not need paint at this time). We will also have the trim areas on the main buildings that need attention scraped and re-painted. The painting will be done by GBG who has previously painted our buildings. Erv Grody will be coordinating the Project on behalf of the TNECA Board. As you know, sheds and garages are limited common elements and accordingly, if you have been assigned a shed or a garage that needs to be painted, you will be separately charged. Please remember the Association paid for the first round of painting some years ago. If you have a shed the cost is $207 and garage/bay is $715. This will appear on your 4th quarter invoice. We can spread this out over a couple quarters if you like. (Please contact us) The Board continues to work diligently to make sure our grounds and buildings are kept in the best possible condition. Please do not hesitate to contact us with any questions or comments.

Just found out that you can change your personal phone mail greeting by dialing 3050, hitting the asterisk key, ext. number twice, then just follow the prompts.  If anyone else knows about any other tips related to the Treetops phone system, let us know.  As soon as we are confident that we have found all these little hidden options that are available, we plan to put together some sort of instruction card and phone directory.

Phone Tip

 

Did you know that you can direct dial your condo from outside the Resort phone system (i.e...not have to go through the Treetops Operator)?  Your direct dial number is 989-731-XXXX, where XXXX is your Treetops extension.  Your extension is 80 plus your unit number - using the following translation table:  6A = 61, 6B = 62, 6C = 63, 6D = 64, 6E = 65, 6F = 66, and so on.  For example, if your condo is Condo 6D, your direct dial number is 989-731-8064.  If your condo is Condo 7F, your direct dial number is 989-731-8076.  You can also have the Resort change the number of rings before the caller is transferred to the Resort Operator/Voicemail.  If you would like to change the number of rings, please contact Mark Sheehan at the Resort.

3Q12 Dues invoices were mailed yesterday.  Seems there is some confusion regarding the rebate we made last quarter.  That rebate was just that, a rebate. If by chance actual expenses of the Association are less than budgeted in future years, another rebate might be considered. However, it is way too early to tell how things will shake out this year. Please be assured that the Board is looking for every possible way to save you money not only for things included in Association dues, but also property taxes, cable TV, Propane, Water, Rental management, Phone, Resort Discounts, etc..

Deck Cleaning

 

We have received bids for cleaning and sealing your decks. Click here to see the cost for each unit as well as the services that will be provided.  If you are interested in participating, please contact us on or before Friday, April 13th. We expect work will be completed prior to Friday, April 27th and the cost included on your 3Q12 dues invoice. If your back deck is one that is covered, you may be able to skip having it cleaned and sealed this year but the entranceway decks should be cleaned and sealed every year.  If your deck is found to be in need of cleaning/sealing during the Boards Annual inspection and you do not take advantage of this offer or do not arrange for the cleaning/sealing on your own, the Board may have the work performed and billed to your unit. If you have any questions, please contact the Board ASAP.

Effective immediately, we are going limit the number of attempts to contact owners regarding payment of Association Dues to only two times during any three month period - a total of eight times a year.  These notices will be in writing by E-Mail or US Mail.  Attempts to contact owners regarding dues payments will no longer be made by phone.

Dues

In the recent past, the Association has not been enforcing our Late Fee policy ($100 fee for every month Association dues are over 15 days late).  However, effective with the 2Q12 dues cycle (the current one), we will begin adding the fee to your account if dues are late.  We understand that many of us travel quite a bit during the year but, if you anticipate that you will not be able to pay your Association Dues on time, please contact the Board ASAP.  We will continue to do our best to try and contact you with 2nd and 3rd notices by email, US MAIL and phone.  Also, if dues are received late 2 or more times in a year (1/2 the time or more), the unit will be disqualified from any possible dues rebate that year.  Alternatively, if you would like to pre-pay your dues, please feel free to do so.  As you know, Association dues are payable quarterly; Invoices are sent out by the 15th of February, May, August and November; Payment is due 30 days later and we now offer a free, online payment option.

Decking

As noted in an entry here last fall, a number of co-owners expressed an interest in having their decks cleaned and re-sealed this spring.  Although the decking is a classified as a limited common element and therefore the responsibility of the individual co-owner, there should be some "economies of scale" if the work were bid out as one project. Rebate

It is our pleasure to inform you of a dues rebate that will be applied to your 2nd quarter dues assessment. The rebate is possible due to continued expense management successes by your Board including less than budgeted expenses for General Maintenance. Eligibility to receive the rebate is based on timely payment of quarterly dues. Specifically, all Owners who were not late with dues payments (greater than 15 days from due date) more than once, qualify for the rebate. The rebate amount is approximately 11% of your 2011 dues or about $500 per unit. The actual amount depends on your percentage of ownership. Thank you for your continued support of the Association and it's Board.

The snow has arrived at Treetops and ski conditions are great.   If you get a chance to come up, make sure you stop by Hunter's Grille.  They have entertainment on Friday and Saturday nights and the duo of Jeff and Sue/Cult of 2 are really great.  The tapas are excellent as well.

Also, in talking to the Golf Pros, advance reservations are ahead of last year and golf tee times are booking up.   The word is - book your t-times early.

Dues Payment Option

The Board had been approached a while back about setting up a system to allow co-owner's to pay their quarterly dues electronically, as an alternative to mailing a check.  At the time, the cost was un-economical for both co-owners and the Association.  However, costs have come down and, starting with the 1st quarter 2012 dues invoices, co-owners will now have the option of paying their Association Dues online with funds from a checking or savings accounts - with no additional charge to the co-owner!  The cost to the Association is about the cost of a postage stamp.  The 1Q12 invoices will be going out sometime around November 15th. Each invoice will include a "link" to an online web payment site. Each link will be unique to each co-owner and that particular invoice.  The site includes instructions but the process is very similar to the process other companies use for online payments directly from their web sites - utilities, for example.  You can continue to pay by check if you prefer.   If you have any questions, please send us an email.  Even if you don't have a question, we would be interested in any feedback you have, especially any negative feedback.  FYI: For those co-owners who had asked about paying by Credit Card, the cost for that option is still too high to make sense but we will continue to investigate.

New Gate

Treetops has erected a new gate on Harry's Way, just north of Fazio Drive. Be careful if you are driving up to the North Clubhouse during the off-season, especially at night, until they mark the new gate a little better.

Decking

A number of co-owners have expressed an interest in having their decks cleaned and re-sealed.  Although the decking is a classified as a limited common element and therefore the responsibility of the individual co-owner, there should be some "economies of scale" if the work were bid out as one project. Internet

Wireless internet is now up and running in all buildings in our Association. Each building has its own "open" access point (named TNECA1, TNECA2....and so on) and, as such, is available to both owners and guests.  As mentioned, the cost of the internet will be covered by current dues. Should you experience any problems, please call the front desk and, at some point, please also email the Board at TNECABOARD@TreetopsNorthEstates.com so we can keep track of problems to insure that the service is as reliable as possible.

INTERNET IS HERE!  We are pleased to announce that we expect wireless internet to be installed and available in each of our buildings in the next two weeks.  While the process has taken longer than we had hoped, the result is a technology and price we believe best meets our Association's needs.  The cost will be absorbed within the current dues structure.  Many thanks to Barry Owens for his patience with us as well as to the entire Association Information Technology staff.  More information will be posted when we are up and running.

Opening Day Update

Unfortunately the snow has not melted as quickly as hoped so the Masterpiece golf course will NOT open this weekend. However they will keep the golf shop open the following hours: Friday, April 22: 9am – 6pm Saturday, April 23: 9am – 5pm Sunday, April 24: Closed For Easter.  They are planning on opening the Masterpiece golf course on Monday, April 25 (weather permitting). Don’t forget this Sunday at Treetops they are having Easter Brunch

Due to the recent snowfall, the Jones golf course will definitely be closed Friday, April 22nd. However, the Jones Golf Shop will remain open Friday from 9am – 6pm. If anyone wishes to pick up their Property Owner ID Card or their Memberships or simply wants to do a little shopping feel free to stop by the Jones Golf Shop anytime between 9am – 6pm. As of right now we are planning on opening the Jones golf course on Saturday, April 23, however that may change if the weather does not improve. We will keep you posted on that. You may have noticed that our annual Spring Cleaning & Maintenance process has begun.  Over the next few weeks our landscaping, buildings and entranceways will be returned to their "in season" form.  We also plan to begin "field testing" a new walkway lighting system at building 1.  As you know, the current system leaves much to be desired and takes a disproportionate share of our maintenance budget.

New Tax Assessments

The "Notice of Assessments" for 2011 have been sent out by the Township.  It seems that the tentative values have been set slightly higher than the values contained in the various analyses that the TNECA Board provided to the Township on your behalf over the past few months.  However, it does appear that most values (and therefore your property taxes) will be decreased by at least 30%.  As you know (see the 01/29/11 news item below), there were two additional sales this past January that could not be used in the 2011 assessment calculations - but will be included in the 2012 calculations - along with any additional sales that happen in 2011.  Had these two sales occurred in 2010, the 2011 tentative values could have been set slightly lower.

Pool

The main Pool and hot tub will be open this Memorial Day weekend.  At this time the Kiddie Pool and second hot tub will remain closed.  The costs to make them operational, both mechanical and operating, are difficult to justify at this time as the over all utilization of the Pool facility does not support it.  The Board is working with Treetops to come up with a permanent solution.  More details to follow.

Capital Project

 Update

Building 7 painting has been completed.  Pending the outcome of a final "inspection", the "Capital Improvement" project that we have been working on for the past 2 1/2 years can be officially and successfully closed.  Thank you to the Association Board, Erv G., Mike F. and the co-owners for helping us complete this project on time and within budget.

Treetops Event

If you are going to be at Treetops on Saturday, September 26th at 5:30pm, Treetops is having the final "Couples Night" of the season.  This will prove to be a very fun and exciting night in which they hope to have a professional play with each group in a CROSS COUNTRY SCRAMBLE.  This unorthodox golf course, set up on the Tradition course, will have you playing through, over or around the trees from one tee box to another green other than the hole you’re on.   They have done this twice for the Ladies Golf League and they have loved it.  The other special thing about this evening is the catered dinner that will take place in the Treetops Wilderness Cabin at Project Nature.  If you’ve never been there, you’ll for sure want to sign up, as it is a wonderful setting for a great event.  Due to the nature of the dinner, they need to have everyone signed up in advance - NLT Wednesday, September 23rd.  If you’d like to sign up, please contact Jim McGuigan via e-mail (jmcguigan@treetops.com) or phone 989-731-8495.  Cost is $40 per person for both golf and dinner.

Resort Update

The North Clubhouse, North Courses, Broken Club Pub & Tavern on the Hill are closed. The rest of the Resort (Jones Course and Legends Restaurant) will be closing on October 26th.  The Resort will re-open December 11 - when the slopes open, hopefully with lots of snow. There is one exception, Legends Restaurant will be open for the weekend of November 7 for a large group that is staying at the resort. If you need a key during this time, per Linda McCann, they are kept at the Convention Center in the vault. Normally during shutdown, Accounting and Sales are on staff from 8:30 am to 5 pm, Monday through Friday. Should you not be able to be there during those hours, Linda would suggest you call ahead and give them a heads up as to when you are arriving and they can arrange to get you news keys, if needed.

The Pool will be opened ASAP.  We will post additional details as they become available.  The Board is encouraged by and appreciative of those owners who expressed opinions regarding YOUR property.  PLEASE continue to participate!  This is not the last "crisis" we will face as we continue to correct issues that are primarily the result of Association ownership not taking "ownership" of it's affairs for so many years and not establishing appropriate programs (financial or otherwise) to operate and plan for it's future viability - now compounded by issues related to where we are in the business cycle.  Remember, this is YOUR Association and the By-Laws give you options.

The Board has not been able to secure a Management and Cost Sharing Agreement with Treetops needed in order to open the Pool for 2008. The Pool is owned by Treetops. Until such time as an agreement is put in place, it appears the Pool will remain closed. We are hopeful arrangements can be made which will allow its future opening.

Assessment Letter

As outlined in the letter from our Association President (see Assessment Letter link at right), we are embarking on an aggressive plan to catch up on capital improvement projects that were neglected by the former Board.  Our ability to accomplish these projects is highly dependent on receiving payments from co-owners when due.  In order to help us meet these funding goals, effective 05/01/08, we will be implementing the following policies regarding the payment of dues:

  • If any unit is “past due more than 15 days”, a $100 late fee is applied. (Prior policy was “past due more than 30 days”.)

 

In addition, a lien will be placed if any of the following conditions exist:

  • unit is “past due 30 days or more” and “currently for sale”

  • unit is “past due 60 days or more”

  • unit is “past due 1 day or more” and “scheduled for foreclosure”

 

Liens will be recorded in an amount sufficient to cover any/all dues scheduled to be due during the following twelve months, regardless of whether they are “past due” or not. (This is required by the Association By-Laws.)

A process for replacing defective street lights is in place.  There were at least 3-4 that were inoperative which should be fixed in the next couple days.  We are also experimenting with a new timer on building #2 which we believe will solve problems with the walk lights.  The timer is set to work from 5pm to 11pm.  We are also going to try using some different bulbs which should provide a bit more light without having to increase wattage.  Assuming these remedies are successful, other condos' will be updated in ASAP.
